What happens when a HighLevel appointment is a no-show

You mark the appointment as a no-show. NextUp treats that the same as a cancel. The next person on your waitlist gets a text from your number and can take the time. Anyone who asked not to get texts is skipped, and the hour can still fill the same day.

How do you mark a no-show?

You mark the appointment as a no-show in HighLevel. Use the same mark you already use when someone does not walk in. NextUp does not need a special status name beyond that.

Do it when you know they are not coming. Wait ten minutes if you can, rather than mark it while they are circling for parking. Once you mark it, we treat the hour as open.

If you are not sure how HighLevel wants the mark, stay with the no-show status your shop already uses. Guessing a new label does not help.

Why we treat a no-show like a cancel

A no-show leaves the same hole as a cancel. The hour is empty. Someone else asked for an earlier time. Waiting until tomorrow to notice does not fill today.

The person who missed it may have a reason. That is a separate conversation. The chair is still empty. How to fill a last-minute cancellation in HighLevel is the same idea on a cancel. The 4pm feeling is the same feeling.

You already keep a waitlist for this. How to build a waitlist in HighLevel is the tag. Does HighLevel have a waitlist? if you thought the calendar kept the line. It does not.

Who gets the text

The next person on your waitlist gets a text from your number. If they want the time, they tap and they are booked. The message looks like it came from the shop, because it did.

They need a phone number on the contact. They need the waitlist tag. If the list is empty, nobody gets a text. Tag people before you need them.

How to automatically text your waitlist when someone cancels is the same send on a cancel. A no-show just uses a different mark.

Who do we skip?

We skip anyone who asked not to get texts. If they have asked your shop not to message them, they will not get an offer. We text the next person on the list instead.

The person we skipped stays on the waitlist unless you take the tag off. That is your call. Some people still want the tag and do not want a text. Listen to them.

If everyone on the list asked not to get texts, the hour stays open. Add someone who can get a text, or leave it. Leave the skip alone.

Frequently asked questions

Do I text the person who did not show?

That is your shop, not NextUp. Some owners send a kind note. Some wait until the next morning. We only text the next person on the waitlist about the open hour. The person who missed it does not get an offer for their own slot.

Can someone on the list take a no-show hour the same day?

Yes, if they can get there. We text them from your number as soon as you mark the no-show. They tap Accept and they are on the calendar. If they are at work or across town, they will pass, and we text the next person.

What if I marked the wrong appointment?

Fix the mark in HighLevel the way you already would. If we already texted the next person, tell them the hour is not open. You look after that conversation. We cannot unsay a text. Check the appointment before you mark it when you can.
